Outgoing and incoming documents can be managed in our shipment management subsystem, which can be used to track all the process steps from arrival at the building to the archive processes. We provide these documents in the most modern way, with a document identifier and/or shipment identifier after arrival in the system. The uniqueness of the documents is ensured with the help of file numbers and barcodes, which can also be provided with a QR code if necessary. We have included integrated postal delivery in the package management product group, which is useful for our customers who produce large quantities of outgoing packages and/or the management of packages with strict accounting is a priority task in their area.

Scanning processing

Our BürOffice system supports the use of several scanning software. We currently have Kofax, Abby and a solution with our own scanning software (BOSS) integrated into the system, but we are able to integrate with other scanning software already implemented at our customers.

Incoming shipment management

A company can receive a lot of physical mail, including letters, packages and items that the company needs to handle for some reason. These can arrive in a number of ways: by post, courier or even delivered personally by a customer or customer contact person. In this way, there may be a need to see these in a single system, since there have certainly been cases where the customer submitted something, but the fact of that had to be researched from several systems, and even then it was not possible to know exactly what the customer had sent, because the document it was not scanned, it only existed on paper in a file or on a shelf. However, it would have been useful if it was immediately available in electronic form. There has already been a demand for to handle incoming shipments at one site and turn the process into a one-stop shop? Thus, only one group needs to be trained so that they can act professionally and quickly in the handling of shipments.

Outbound shipment management

In the BürOffice system, plain and template-based outgoing mails can be created starting from individual case files, which are thus guaranteed to be filed. E-mails can also be created in the system, they can be sent from the system, but just as easily, letters sent from the administrator's personal mailbox can be filed in a few steps using the Outlook Add-in.

Electronic mailing

The module combined with the Outbound mail management makes the entire postal process traceable. The items can be handed over to the Post via an electronic sender list, and then the electronic proof of delivery can be processed in the system without the intervention of an administrator, and the system notifies the sender if necessary. The product can also be used independently.

Document and consignment identification

In order to uniquely identify document paths and track versions, companies need a solution where a system distributes barcodes to specialist systems, of course only to those systems that need it. A technically structured system is required, where there is a ready-made solution for everything from printing the physical barcode on a label to creating the barcode that appears on the electronic document.
